Document Supply Services requests now wholly online

The way people can submit their Document Supply Services requests has changed so that requests can be sent in a single electronic transaction.

The online submission form no longer requires a handwritten signature to be sent to Document Supply Services.

As long as the requester has typed their name in the *YOUR NAME box and ticked the online form to state that they agree to the copyright declaration statement, we will be able to process their requests.

You can still submit using the paper forms on the helpdesks, although we would encourage you to submit online.

In addition, students no longer need to pay the £1 copyright fee per item. Please note that while the items are effectively free to the students, the learning centres still have to pay the full charge of around £9-10 per item. So please encourage students not to go crazy with the number of requests they submit.

Reminder Notices for Students

From the start of this semester, students will receive an e-mail to remind them to return any books or other items which they have borrowed.

For one week loans, they will be reminded 2 days before the item is due; for two day loans, they will be reminded 1 day before the item is due.

They will also receive a series of e-mails after a loan has become overdue, reminding them to return the item.

IEEE Explore Search history

IEEE Explore have announced a Search History facility:-

This new Search History^BETA replaces the current "Searches for this Session" feature and has many enhancements:
• The current search history clears records after you close your browser. The new search history stores your records across sessions to your personal account for later viewing. You must login to your personal account (registration is free) to use the new Search History^BETA.
• More user friendly display
• Post search refinements are captured and displayed
• The last 50 searches are stored
• Each record has an individual date stamp and shows if the search was done across metadata or metadata and full-text
• Searches can now be combined

To access the new Search History^BETA, login with your personal IEEE account turn search history ON in your preferences, then click any of the Search History links on the homepage or search results page to view and combine your searches.

However when you go into IEEE you see that you are signed in already, this is your institutional log in. There is no obvious place on screen to log in with a personal account. You need to click on my settings and a drop down box will appear with a sign in link. You can either sign in if you have already registered or you can register for a personal account. You can then follow the instructions above to switch on search history.

The next time you log in to IEEE click on the my settings link to sign in and the search history links will appear.

Guide to Referencing and Citations

Version 4 of the “Guide to Referencing and Citations” is now available.

Our Referencing help guide on the Library Gateway now links to the new edition.

Last academic year there were over 24,000 downloads of the “Guide to referencing and Citations”.
There are no major changes to the new edition. There are even more examples of how to reference different types of material and we have also slightly re-organised the headings those examples are listed under to make the guide easier to use. We have also provided more advice on citing and on attribution. There is also now a direct link in the guide to the copyright guide.

How to Add a Paper to SHURA

Self-Service Holds on Books

We have now extended our self-service services for students and staff to include holds on books (also known as reservations).

Rather than going to the helpdesk, you can now collect any items on which you have placed a hold from an area in the Key Text collections of each learning centre. You can take out the book using the self-issue machines in the Key Text areas. Only the person who has placed the hold can take out the book.

Books on Level 2 Adsetts Learning Centre

The books on level 2 of the Adsetts Learning Centre are now freely accessible to students and staff again. These include books on computing, journalism and communications and media.

The far end of the shelving is still out of bounds, until the hardcopy journals and law books are reshelved. They should be available within the next few days; in the meantime, please ask at the helpdesk if you want anything from these collections.

There are some changes to the books on level 2:

The law books are no longer in the level 2 extension (the silent area). Instead, they are now next to the hardcopy journals.

The main floor of level three is due to be opened sometime next week, once furniture and equipment has been installed.

Adsetts Redevelopment: Level 3 books now available

The big redevelopment works that have been carried out in the Adsetts Learning Centre over the summer are beginning to reach their final phases. As the work is completed, the floors that have been closed off are starting to reopen.

Part of level 3 has now reopened, allowing students and staff access to the books, DVDs and other material kept there. Subjects on this floor include fashion, energy management and linguistics. The rest of the floor is still closed off for a little longer while furniture and equipment is installed. In a couple of weeks the same process will begin on level 2. In the meantime, the books on level 2 can still be accessed in the level extension via the staircase behind the Adsetts cafe.

There have been some changes to what is kept on level 3:

The Media collection of DVDs and videos has been moved out of the level 3 extension, and is now at the end of the main book collection on level 3.

The Languages and TESOL collections have also been moved out of the extension and next to the main book collection.

The Statistics and Scientific Data collection on level 5 of the Adsetts Learning Centre has been moved next to the main book collection on level 3, in preparation for work on levels 5 and 6 next summer.

Books on media and communication studies and sociology which were on level 3 will now be moved to level 2.

For the immediate future, there is no lift access to level 3, as the lift exits in an area still undergoing building work. Until access is restored, if any student who can not use the stairs asks at the helpdesks, we will be happy to obtain their books for them.

Over the summer, the books have been temporarily kept in the extensions on levels 2 and 3. Once the books have been transferred back to the main floors, the extensions will be closed off for a month or so, while they also undergo refurbishment.

Intellectual Property and the modern digital world: UK legislation review

The Government has recently announced its broad acceptance of the recommendations from the Hargreaves Review which reported in May 2011.

Headlines for change:

A means to enable rights clearance to permit reuse of resources via licensing schemes.

An orphan works scheme to enable works still in copyright, for which the copyright holder either can’t be identified or traced, to be reused; this will be subject to payment of licence fees.

More exceptions which will enable reuse of copyright resources under certain circumstances. This will mainly benefit personal use and research rather than the free use of copyright materials in teaching.

Help with interpreting the grey areas of copyright law by widening the remit of the Intellectual Property Office

Following consultation plans will be set out in a White Paper in Spring 2012 with a view to legislating in this Parliament where necessary. See also JISC legal for more information. Contact the Media Materials and Copyright team for further information.

Video-on-Demand now available off-campus!

The Video-on-Demand (VoD) is at last available for SHU staff and students to access from off-campus, as well as viewing via PCs and laptops on campus as before.

All VoD items can be accessed via the Library Search or the Library Catalogue.

Unfortunately, there are some restrictions on what can be viewed. VoD recordings can only be viewed within the UK, and some titles are unavailable off-campus, as they were recorded via our Sky subscription, which does not have an off-campus viewing licence. The catalogue will indicate whether or not the specific title can be viewed on or off-campus.

Bookmarks which you have already created and put into your Blackboard modules can be viewed off-campus, providing the orginal title can be viewed off-campus. Bookmarks can not yet be created off-campus, but we hope to add this function in the future.

Over the next few months, you may notice that the quality of the recordings varies when you view them off-campus. This is because all the thousands of VoD recordings are gradually being rendered in a format better suited for streaming off-campus (better image quality than the bookmarking view, but less demanding of bandwidth than the on-campus view). The process is currently running 24/7, and will be finished by early October.

As well as VoD, other shuplayer services which are also available off-campus:
• Viewing SHU-generated video uploaded to shuplayer
• Requesting off-air recordings (for staff only!)

Referencing Help

The Learning Centre provides a range of advice on referencing, the Word citations & bibliography tool and RefWorks. We have developed web pages, electronic publications, printed leaflets and on line tutorials to help students. As the advice we offer has grown , navigating the range of our services in this area has grown more complex. So this summer we have bought together in one place the wide range of help we can offer in our new Referencing help guide

This new Referencing help guide can be found on the front page of the Library Gateway listed in the More services section. The Guide can also be linked to directly at :- http://libguides.shu.ac.uk/referencing

The guide has sections on referencing, referencing software, Refworks, Write-N-Cite and the Word Citations & bibliography tool. Our previous pages (created using wiki software) now have guidance on how to get to this guide which replaces them.

We know that other institutions , partner colleges and schools already use our current referencing help and they will still have access through the Referencing help guide as it does not require a log in.

Library Search Drop-ins for Staff

Film Studies Collection Loans

New Library Gateway

Yesterday afternoon, the new Library Gateway and Library Search went live and replaced the old Gateway and Litsearch. Library Search is a powerful search tool which can find material from many of our information databases as well as the library catalogue. These are substantial changes, and if would like to arrange training for yourself or your students, please contact us. We are also very interested in any feedback you may have.

If you want to use the old Gateway and Litsearch, they will be available until September from a link at the top of the new Library Gateway

We are also introducing reworked and expanded subject guides. At the moment, we have new guides for Information Technology and Engineering, Electronics & Materials- to support the summer school students- and guides for the other subjects will follow before the new semester.

Changes to CSA Illumina/ Proquest Databases

We subscribe to many of our research databases via the CSA Illumina platform. CSA are now part of another company, Proquest: we also access some databases via Proquest's platform. Proquest have developed a new platform to which they will move both the CSA Illumina databases and the databases from their current platform. These changes will affect at least some datbases in most subject areas.

The new platform has a range of new features, and the new look is very similar to other recently-revamped databases. There is excellent help and information available when you connect to the new platform. Proquest claim that "For library users at all levels, the platform provides a better way to search, find, use, and share information."

You can try out the new platform via the new Library Gateway, through either the A-Z list of databases or the subject guides. Any of the databases listed below will run in the new Proquest platform:

Refworks - a new interface

A new interface has been developed for Refworks. It retains all the functionality of the original "classic" Refworks but has a cleaner more user friendly look. In early June 2011 when you log in to your Refworks database you will see a link that allows you to use your Refworks database with the new interface. You can use any Refworks database with either the classic interface or the new interface. There is no need to migrate data.
In early September 2011 when you log in, the default interface will be the new Refworks interface but if you wish, you will be able to see your database in classic Refworks. However at the end of 2011, classic Refworks will be switched off and you will only be able to use the new interface. Any databases created or modified with the classic Refworks interface will automatically work with the new interface.

Journals Move

As part of this summer's redevelopment of the learning centres, we are currently moving the print journals on level 2 of the Adsetts Centre down to the Stack on Level 1. This will be a temporary measure for the duration of the work. When the building work is underway, you will need to access the Stack via the staff lift on level 5 of the Adsetts Centre.

The library catalogue should tell you the correct location of the journals during their move. However, if you can't find something, please ask at the helpdesk.

New Library Gateway

Alongside the physical redevelopment of the Learning Centres, our online resources are also changing. We now have a beta version of the new Library Gateway for you to try. This new version will be the default from June 1st 2011, although the current version will also be available until September. The beta Library Gateway lets you search the library catalogue with the new Library Search discovery tool. It also has links to the new-look Subject Guides, Library Catalogue, Find My Reference and A-Z List of Databases.

Royal College of Art collections on VADS

The image database VADS has released two new collections of work from the Royal College of Art.

The Record of Student Work is a collection of over 5,000 images taken from the final year degree shows at the Royal College of Art. Beginning in the 1960s, it includes student work in art, design and fashion by artists such as David Hockney, Tracey Emin, and Zandra Rhodes.

Also available is the Royal College of Art Collection, a collection of over 1,000 artworks by alumni of the College, including Paul Nash, Eric Ravilious and Dino Chapman. The collection covers developments in British art from the mid-twentieth century onwards.

Development work this summer

Following positive feedback on last summer's redevelopment work in the Learning Centres, more floors will be refurbished this coming summer.

At Adsetts, the work will centre on Levels 2 and 3. We will be creating more bookable group study rooms, and every desk will have a PC or a laptop plug-in point. We will also be improving lighting levels and introducing more colour and artwork.

The work will require the main areas on Levels 2 and 3 to be cleared of bookstock and study spaces towards the end of May and then be closed till the end of September.

Book stock will be moved the extension areas and the print journals will be moved to the Stack

We hope that the disruption caused by this work does not cause you any problems and that it will really improve the environment at both learning centres.

Festival of Britain Symposium May 12th

To coincide with the exhibition of Festival of Britain memorabilia in the Adsetts Learning Centre- as well as the Festival's 60th anniversary- there will also be a symposium on the afternoon of Thrsuday May 12th. The event begins with screenings of films from 1951 in the Void (Owen 123) at 1.30pm. This will be followed by a series of short talks about British art, fashion, literature and culture in 1951, held in Adsetts Centre rooms 6620/6619. Tea will be provided at 5pm.

Entrance to the symposium is free, but you will need to book a place. Please see the Festival of Britain page on the Special Collections website for more details.

Festival of Britain Exhibition

If you have been into the Adsetts Learning Centre lately, you will have noticed an abundance of red, blue and white bunting. This is for our new Festival of Britain exhibition: the exhibition celebrates the 60th anniversary of the 1951 Festival, and shows off the collection of Festival memorabilia in our Special Collection.

The Festival of Britain was a major showcase of British architecture, arts, science, technology and design, and was aimed to be a "A Tonic to the Nation", lifting the nation out of the doldrums after World War II. The Festival itself was also held to commemorate the centenary of the 1851 Great Exhibition. Exhibitions were held across the country, encouraging the nation to get involved, and the lasting legacy in London included the building of the Royal Festival Hall and the regeneration of Battersea Park with the Festival Gardens.

The Special Collection's began accumulating Festival of Britain material in the 1970s, after acquiring a box of Festival items from the Daily Mirror. As time went by, the University acquired more and more material, and even started receiving donations as people heard about the collection. Our current exhibition contains posters, books, leaflets, toys, glassware, jewellery and a variety of other paraphernalia, from tea-pots to frilly pink knickers.

A new library search system

This summer, we’re bringing you a new search system, which will make it easier for you and your students to discover our library resources. From a single search box, this will search both the Library Catalogue and our available journal articles, as well as searching our images database SHIMMER and our research archive SHURA. The results are presented in one integrated list that can then be easily refined down to find what you want.

We will have this new search software running alongside existing services from April 2011, and it will be fully launched in July 2011. This will replace Litsearch and the current Encore catalogue interface, although we will be keeping the classic catalogue interface. See the staff intranet for further details.

Woolmark Fashion Collection on VADS

The London College of Fashion has released another collection of its fashion and design images on the image database VADS (Visual Arts Data Service). The Woolmark Company was created to research and promote wool for clothing and fashion. As part of their work, they assembled a collection of over 2,000 promotional photographs, running from the 1940s to the 1980s. These follow the changing styles of both fashion and fashion photography, and they include clothes from a number of major major designers, as well as high street retailers.

Railways Archive

The Railways Archive is an excellent, searchable collection of documents relating to British railways, produced by enthusiasts. It covers legal, political, economic and safety aspects of the railways from their very beginning in Britain, and includes hard-to-find documents such as the Beeching Report, scanned from the originals. It also has a huge data-set on railway accidents in the nineteenth and twentieth century.

BBC College of Journalism

This resource brings together hundreds of videos, audio clips, discussion pages, teaching modules, and text pages to make the study of journalism accessible and interactive.

British Standards On Line (BSOL) Beta search box

BSOL now has a Beta single search box where you can type in a standard number and/or a subject search. This does not run the same type of search as putting in a keyword into the keyword search box.
It claims to run a more focused search with better relevance. You will find you often get less hits by using the beta search box. For example toasters and safety in the beta test version finds 13 items, the same search in the key word box finds 34 items. If you try the beta version and think you may be missing relevant standards, click on "click here for a broader set of results" and it reruns the search and will bring in more results.
Unlike the keyword and number search boxes you can combine numbers and words together in the beta box. This works with all elements of the standard number, so if you know a part number but not the full standard number you can combine the part number with a subject word for example toasters and 3.17. Likewise if you know the standard number but not the part number you can combine a subject word and the standard number, for example 3456 and washing machines.

We have not fully tested this yet but the new search box does appear to find fewer but more relevant standards and also seems bring the most relevant standard to the top of the list more often.

SHUgo: Blackboard on Your Mobile

SHUgo, a mobile variant of Blackboard, is now available as an app. A version for Apple devices is available from their app store: apps for Blackberry and Android phones are coming soon, as is a slightly cut-down web-based version, suitable for all devices. Version 2 will be released later this here.

In addition to access to your Blackboard sites, maps and help, SHUgo includes mobile access to the library catalogue, as well as learning centre news and contact details.

Potential Document Supply Delays

Potential Document Supply delays
A high percentage of the items which Sheffield Hallam University's Document Supply Service obtains are from the British Library.
Currently, some areas of the British Library's West Yorkshire site, which houses its document supply centre, are temporarily closed. Some of their usual services may be unavailable.
SHU's Document Supply Services team are experiencing a delay of around eight weeks on some of the requests they send to the British Library. In the light of this, could we urge staff, researchers and students to send their requests in plenty of time and allow for the possibility of delay in the fulfilment of their requests.
Please place your requests as usual. DSS will endeavour to go elsewhere for material if necessary. They will of course keep all requesters informed if the item they require is going to be subject to delay.

This is the statement from the British Library

"The British Library stores some of its collections in storage buildings in Boston Spa, West Yorkshire.
In common with many buildings built at the same time, asbestos was used in the construction of the Boston Spa site, and the Library has a continuous programme of asbestos detection and removal. Recently, very small traces of asbestos were found in some areas. All air sampling tests have found there to be no health risk. However, the Library is taking sensible and responsible precautions to ensure the health and safety of Readers, users and staff in full compliance with the very strict health and safety regulations applying to the management of asbestos.

This means that some areas of the Boston Spa site may be closed temporarily, and that some of our usual services may be unavailable.
The major asbestos removal works currently planned are expected to last for much of 2011.
Alternative supply measures already in place will mean that the majority of requests for affected items will be met - this figure will increase as we progress with the cleaning. We will also focus on high-use document supply holdings and we plan to bring affected material back on-stream as rapidly as possible.
We would ask you to continue placing orders as usual, and you will be informed if you will need to reapply for your requested item at a later date.
We will make every effort to minimise disruption to our customers and will provide regular updates on the situation. Thank you for your understanding."

ProQuest CSA unavailable Sunday 29 January

ProQuest will be performing infrastructure maintenance on 29 January, 2011. A twelve (12) hour maintenance window will be required for this maintenance, 3 am till 3 pm.
During this period no CSA Illumina databases will be avalable. This covers a wide range of databases, 49 in total from CSA, Metadex, British Humanities Index, Communications abstracts , PsycInfo etc.

We suspect that this work is in preparation for their move to a new search interface that will be launched this year.

Document Supply - possible delays

We have been warned by the Britsh Library that there might be some delays in their service. Some of their collections are in storage rooms at Boston Spa. Small traces of asbestos have been discovered in some rooms and the library is taking steps to remove this. They hope to minimise the impact on services but there may be some. If a requested item is not available they will endeavour to offer alternatives. But this may result in a slower than normal delivery.

National Portrait Gallery: behind the scenes resources

The National Portrait Gallery, in partnership with several other British museums (including Museums Sheffield) has released a collection of web resources for young people interested in working in museums. The site is primarily intended for 14-19 year olds doing the Creative and Media diploma: however, it contains resources which may well by useful to other students. It has the planning, publicity and evaluation documents from two exhibitions, including the Comedians: from the 1940s to Now exhibition which was on in the Graves Gallery. It also has an extensive series of interviews with a wide range of museum staff, talking about their jobs and the work that goes into preparing an exhibition.

Web of Science Book Citation Index

At the Frankfurt Book Fair Thomson-Reuters announced the development of a Book Citation Index to be launched during the second quarter 2011. There will be a Social Sciences and Humanities Book Citation Index and a Sciences Book Citation Index, both available via Web of Knowledge and both separately searchable as well as through a federated search of all the databases in Web of Knowledge. What the cost implications of this are I do not yet know.

Harvard referencing in Word

Microsoft Word (2007 and 2010) has a Citations & Bibliography tool which makes it easy to create citations and a bibliography of formatted references from the details of information sources you enter.

At SHU the most commonly used referencing style is the Harvard style, but this style doesn't come automatically with Word. Student and Learning Services have added a Harvard-SHU style to Word on PCs at the University, so that this tool can be used for Harvard referencing. This style produces references in the way recommended in the "Referencing: a quick guide" leaflet available from Learning Centres and in our online Guide to Referencing and Citations.

To enable everyone to use this and be able to work with it on and off campus it is also possible to install the Harvard-SHU style on your own computer. Instructions on how to do this along with a quick guide and further information about using the tool are available on our Guide to citations and bibliographies in Microsoft Word.

New Image Art & Design Collections: Art Nouveau and Plastics

The Europeana portal is a site hosting digitised images, texts and materials from museums, galleries, archives and other collections from across Europe. It is currently hosting a online 'virtual exhibition' of Art Nouveau design, with images of Art Nouveau objects, illustrations, posters and architecture. The exhibition comes with extensive introductory notes about the movement's history, regional variations and key figures.

VADS (Visual Arts Data Service) has also released another image collection, this time of more than 1,500 items from MoDiP, the Museum of Design in Plastics, based at Arts University College, Bournemouth. The collection focuses on the use of plastic as a design material from the first invention of plastics onwards, and contains plastic household objects, clothes, electronic devices and sports equipment. More images from the collection will be added over time.

Sheffield City Archives temporary closure

Sheffield City Archives is closing for vital refurbishment from the 11 October 2010 until late summer 2011. Air conditioning and boilers have to be replaced so hundreds of thousands items have to be wrapped , boxed and recorded prior to going into storage. This is a major operation which accounts for the long closure period.

SciVerse

Elsevier have launched SCiVerse, this is still in Beta. If you go to Scopus or Science direct you will see a link to it at the top of the page. There are also links to something called Hub . The Hub link takes you to the same page as clicking on SciVerse button.

SciVerse allows you to do an integrated search of Science Direct, Scopus, SciTopics and targeted Web content. It also has a methods search. However it does not have all the search features that Scopus and Science Direct have. For example it does not have a spell checker so if you type in psycological stress it will not offer you the alternative spelling psychological stress which Scopus will do.

Sometimes results seem swamped by the external web resources. For example a search on Telehealth in Science direct found 1067 full text articles, Scopus found 1632 entries. SciVerse found 65675, but the first full text Science Direct item was item 14 on the list, the next one item 35. So for students who want to quickly find full text Science Direct articles this might not be a good interface and one cannot on the SciVerse search screen limit results to full text articles. Scopus abstracts were also swamped.

The entries in SciVerse do not yet have SHULinks, though you can click on entries and if the entry comes from Scopus or Science direct it will take you to their entries with SHULinks embedded. It is quite easy to loose track and it can be hard to get back to your SciVerse list of hits once you have gone out to the Scopus or Science Direct entry.

For the present whilst SciVerse is in Beta stage we would recommend students continue to use Science Direct or Scopus.

British Standards Online - login glitch

We have discovered an annoying glitch with British Standards On Line (BSOL).
If you use the logout button on the BSOL web page when you have finished a session then BSOL will not log in if you try and get back to BSOL later. This can only be cleared by closing down all internet screens and then opening the internet and logging in again. This is the case for both Firefox and Internet Explorer.
However if you simply close down the BSOL screen you do not have this problem.

This glitch is not retricted to SHU other users are having a similar problem. We are pursuing this with BSOL.

re: Search is a new self-guided tutorial for students on finding and evaluating information for their assignments at an academic level. It mixes text, video, small quizzes and downloads in a series of bited-sized units, which can be followed in order or selected one-by-one as you wish. It replaces the previous information literacy tutorial, Infoquest. You can find a link to re: Search from the Library Gateway; but the intention is that you can also add the link to your Blackboard sites if you wish to use it.

Refworks and Web of Science

Changes to the Library Gateway

In response to feedback from students, we have today made some changes to the Find books, journals and media materials box in the Library Gateway. There is now a single catalogue search box that uses the Encore interface. You can access the original library catalogue by clicking on the Classic Search link below the search box .

We have also added an Other Libraries link to this box. This will take you to a page from which you can link to a range of useful library catalogues, including the University of Sheffield, Sheffield City Libraries and the British Library.

Where possible, we have also reduced the number of links opening in new windows, in response to feedback from users.

Adsetts Redevelopment: access to stairs and journals

The will be some disruption to the Adsetts Centre on Thursday 23rd July, while scaffolding is erected. On the Thursday, it will not be possible to use the central staircase to move between floors. Instead, you will need to use the lift to access other levels. Levels 2 and 3 can also be reached via the stairs at the far end of the cafe area, near the helpdesk. Once the scaffolding has gone up, it will be possible to use the central staircase again.

The scaffolding also means removing the display of the latest issues of journals on Level 2 of the Adsetts Centre. The latest issues have been placed with the other issues of the relevant journals in the main journals shelves.

Google Scholar - new citation feature

Google Scholar has a new tool that allows you to search within citing articles. When you search Google Scholar you may find that an entry lists cited by information, clicking on the link will bring back all the articles that have cited the paper that Google Scholar has found. This can be a large number to work through, so Google Scholar has added a box that you can tick so that you can search within just those citations.For more information go to this article from Google Scholar.

However you one can only select one paper at a time and search within citations to that one paper. If you go to SCOPUS you can select multiple papers by an author , list all the citations to the authors papers you have selected and search within all those citations. Web of Science also has this facility and both Scopus and web of Science have features that make it easier to find information like the institutions that authors who have cited the data come from.

Loss of Education Image Gallery

Education Image Gallery is one of our databases of current and historical images, taken from the Getty archives. Unfortunately, Getty have pulled out of the licencing agreement, and so we will not be conitnuing with the database. Our current licence would have expired at the end of July, but we have been granted an extension until 30th September, for anyone who wishes to download images for their teaching and learning.

A replacement, Digital Images for Education, is being considered.

The Times and Sunday Times

The Times and Sunday Times have now gone behind a pay wall. However most of the stories from the paper versions are available from the Nexis UK service that we subscribe to. To find the service go to Litsearch, there is a link on the library gateway.

We also give access to the Times Digital Archive which has full text of the Times from 1785 to 1985. This too can be accessed via Litsearch.

Two version of Nexis UK are available. If you use the LC Proxy version you must be logged into SHUspace or be on campus. Off campus you can go in through SHUspace or go directly in through the Nexis UK via UK Federation but you will need your SHU login and password.

IEEE Xplore and Google

If you are using Google or Google Scholar to find IEEE or IET papers please read the following warning we have just received from the IEEE

"We learned that the majority of IEEE Xplore article metadata records had been eliminated from Google search results. This means that anyone attempting to search for IEEE articles by using Google or Google Scholar would be less likely to find IEEE content.......
If this sounds familiar , it is because we reported to you a similar issue that occurred late last year that impacted on IEEE disoverability in Google search results."

IEEE contacted Google and found that Google had changed its indexing policy and had discarded their IEEE metadata index and started to build a new index. As this index covers 2.5 million records it is a time consuming process.

IEEE are in discussion with Google to help them accelerate the process and they also are hoping to have a better relationship with Google to and prevent this situation in the future.

Meanwhile the best way to find IEEE and IET materials is to use the IEEE Xplore database, through SHUspace .

IEEE Xplore and AIP,IBM and AVS

IEEE Xplore now indexes some journals from IBM, AVS ( American Vacuum Society) and AIP (American Institute of Physics). We don't subscribe to these journals through IEEE. We do have access to the AIP journals indexed through our AIP subscription. Any other articles can be obtained through our document supply service. The IEEE Xplore advanced search screen allows you to exclude items from AIP , IBM or AVS but they cannot be excluded in the basic initial search.

Redevelopment of Level 4 Adsetts Centre

The redevelopment work on the Adsetts Centre is due to begin on Wednesday 2nd June. Deliveries are to be scheduled at the beginning and the end of the day, so as to minimise any disruption.

During the work, it will be necessary to temporarily relocate some learning centre services, as much off level 4 will be cordoned off during the building work:

The learning centre helpdesk, self-issue machines and printer credit machines will be moved into the level 4 extension, next to the Adsetts cafe.
The mezzanine level in the extension above the cafe will be closed, as it will used to store displaced furniture and equipment.
Because of this, the two group study rooms in the level 4 extension will not be available, as well as some of the furniture and PCs usually in that area.
The self-return machines will be moved down to level 3 by the lift, where the printers and photocopiers are currently kept.
The level 3 printers and photocopiers are being moved down to the Pond Street end of the building.
The toilets on level 4 will be unavailable.
There may be some disruption to parts of levels 2 and 5 during the summer, but these have yet to be finalised.

You can then use Scopus lite on your phone:-

Redevelopment of the Adsetts Centre This Summer

Once again, there are plans to redevelop and improve the Adsetts Learning Centre. This project will comprise several phases, the first of which is scheduled for this summer. Following the move of staff to offices elsewhere on campus, space has been freed up on level 4 of the Adsetts Centre (the floor on which you enter the building) and we intend to utilise this. Our plans for the floor include:

100 new study spaces of different kinds, including a quick access area
Several new bookable group rooms
An automatic book-sorter to speed up the return of books to the shelves
New lighting and carpets.
General redecorating and refurbishment after fifteen years of use

As more information becomes available and plans are finalised, we will be able to let you know more concrete details. Should we be able to obtain the funding, we plan to renovate the other floors in a similar way in subsequent years.

One result of this is that some learning centre services, such as the learning centre Helpdesk and the self-issue/ return machines, will be temporarily moved during the summer. We will let you know the exact details of what will happen and when once the final plans have been drawn up. We hope that any inconvenience will be minimal, and work is not due to start until well after the exam period is over.

The British Standards Development web site now gives links to a new proposals web site that allows members of the public to view and comment on new proposals, search proposals by name, subject matter or committee and also to suggest new ideas for standards. There is also a link to the Draft Review system to read and comment on draft British Standards and Drafts for Development, also included are selective international and European draft standards and Publicly Available Specifications(PAS). You can also find out which trade associations and professional bodies are represented on committees and discover which standards they are working on.

BSI are keen to attract more academics to serve on BSI committees.

The New SHURA: Making Your Research More Visible

SHURA (Sheffield Hallam University Research Archive) is an open access repository containing research outputs and publications of researchers at the University. In January 2010 SHURA was moved to a new repository platform provided by EPrints. We have kept a similar design for the home page but you will notice a number of improvements to SHURA’s structure and functionality.

Why the change?
The many advantages of moving to EPrints include:

a strong UK customer base
easy to use interface for self-deposit which means research centres can engage directly with SHURA
able to bulk upload information about outputs from databases, e.g. Web of Science
support for the REF such as reporting capabilities
easy to discover items with more browse options
usage statistics including domain reporting

SHULinks bX Trial

Please check out our new SHU Links article recommender service known as bX, available on trial through SHU Links menus from 5th March to 1st Aprik. We need your feedback to help us evaluate it and decide whether to keep it as a regular service.

It is similar to the Amazon and other recommender services which you may have come across on the internet:
e.g. "Customers who bought this item also bought …"

When you search for a journal article and get the SHU Links menu, the new bX service shows you other academic material, mainly e-journal articles, which other users also consulted when they linked to this particular journal article. You will see the text "People who consulted this item also looked at ... " followed by a list of articles which may be helpful to your search. Some of these will offer the article full text; some won't but may still be of interest for follow up.

These "recommendations" are computed from a large database, external to Sheffield Hallam, containing the anonymized article usage information contributed by hundreds of other libraries using the same software as SHU Links. Sometimes there won't be any recommendations but results are continually improving as the usage database grows bigger over time.

Disruption to ENGnetBase

We apologise but there continues to be disruption to ENGnetBase. The entry in Litsearch now connects to CRCnetBASE. The contents of ENGnetBase are theoretically included in this, but the company have informed us that there have been problems in transferring titles into the new service and not all titles are yet available, and they do not have a list they can give us of the problem titles.
We have attempted to download links for our catalogue, but as the list is a at present faulty we will need to do so again when the company have overcome their present problems.

They assure us that in the end we will not loose access to any titles.

It is possible to limit searches in CRCnetBase to titles which we have full text access, but this does not work well. A search in CRCnetBASE will still search the contents pages of items we do not have full text access to . Thes titles are then listed as free titles but users can only read the contents pages and will be asked for payment to read the full text of any of the book chapters. The only free part of the book is the title page and contents pages.

All of this is deeply unsatisfactory. We have given the company feedback about our unhappiness with the new interface and the way it was introduced.

Disruption to ENGnetBase

There have been some unexpected changes to ENGnetBase, the e-book platform belonging to the engineering publisher CRC. Unfortunately, the changes have disrupted the links to e-books from the library catalogue, which means we can not access many of the e-books from CRC which we own.The link from Litsearch to ENGnetBase's homepage also seems to have undergone some changes, and is no longer connecting to the same place.We are currently in the process of remedying the situation, and apologise for any problems it may cause you.

DawsonEra e-Book Service

The learning centres are trialling a new service that will allow you to request e-books published on the DawsonEra platform to be made available through the library catalogue. We already own many e-books from DawsonEra: however, this new service allows you to search the entire DawsonEra product range.

Login to DawsonEra and use the quick search at the top of the screen to look for books on a topic of interest. If we already own an e-book, the buttons below it will be highlighted green and you can access the entire text. If an e-book is not already available:

•You can use the five minute preview feature to have a quick look at the book
•If you decide you want full access to a book click the “Request Rental” button and complete the online form. (This button is not available for certain items excluded from the scheme.)
We will receive your request and either buy the title for our e-book collection, purchase temporary “rental” access or recommend an alternative resource.

New Research Subject Guide

Another subject guide has been released on the Library Gateway. However, this new Research guide is a little different from the previous subject guides: instead of focusing on a specific subject, it is a guide to advanced research techniques in all disciplines. It is intended for students undertaking dissertations, theses and projects, and covers topics such as: finding past theses; finding ongoing research; citation searching; understanding journal impact factors; and setting up alerts and feeds.

ASME Journals 1990-1999

You may have noticed that we no longer have access to the ASME journal archives (1990 - 1999).

Access was originally granted as part of a free introductory trial to the ASME Digital Library. This trial was set to end in July 2008. Due to a technical oversight the trial did not end as scheduled. ASME did not inform us that they were cutting off access. So they have reinstated access which will terminate on March 31, 2010. However after that date they want an annual subscription to give access to archive. On line access to full text will then be from 2000 onwards.

The subscription is $2600 a year, but with the present rate of exchange and VAT that will be at least £2600 per year. We are not going to take out a subscription and will obtain any items you require from document supply.

Vincent Van Gogh: The Letters- Online

A major new scholarly edition of the collected letters of Vincent Van Gogh has been produced by the Vincent Van Gogh Museum and the Huygens Institute KNAW. In an unusual move, as well as producing a printed copy, they have also created an online version.

The website features all the surviving letters. A series of tabs allows you to simultaneously view any two of: the original text; the orginal text with line breaks; an English translation; a facsimile of the letter; and notes on the contents of the letter. The letters can be searched, or browsed by period, place or correspondent. The website features extensive background information, which is hyperlinked and cross-referenced with the letters. This background information includes, wherever they are available, images of the artworks Van Gogh referred to in his letters. This is an exceptional resource. It has been added to the library catalogue to make it easier for students and staff to find.

National Trust Libraries on Copac

The National Trust's libraries have been added to the COPAC catalogue of academic and special libraries. This is the first time the National Trust's collections have been searchable online.

The collection consists of around 230,000 items, from manuscripts to postcards, from everyday practical texts to rare books.

New Service Status Feature on Library Gateway

IEEE Xplore and Google

We have recently learned from IEEE Xplore about a problem searching for IEEE articles on Google, which you may have experienced. The problem arose in the second half of 2009, and made it very difficult to locate PDFs of IEEE material when searching via Google. Google and IEEE have now resolved the misunderstanding which created the issue, and it should now be possible to find IEEE articles on Google again. However, the IEEE Xplore database is still the most effective way of finding IEEE material.

Lists in the Library Catalogue

The Classic Catalogue version of the Library Catalogue now allows users to create lists of catalogue records and access them from My Library Record. These could be favourite books, journals, VOD recordings or e-books. Users can create mulitple lists.

New Screen Search Fashion Website Launched

A new website featuring fashion on film in the 1920s and 1930s is being launched this week. Screen Search Fashion has been developed at the University of Brighton, in partnership with the RCA funded by the Centre for Excellence in Teaching and Learning through Design (CETLD).

This free online resource offers a new way of looking at everyday fashion and dress history in the inter-war years through unique archive film held in Screen Archive South East's (SASE) collections. The site provides a thematic guide to aspects of 1920s and 1930s fashion, as depicted in over two hundred newly digitized stills and clips, enabling the researcher to discover key aspects of fashion and dress of the period in their historical and design contexts. The site includes links to records in Screen Archive South East's online database, where the films can be explored in further detail. The site also includes links to related resources held in archives, libraries and museums; a bibliography of related literature and a glossary of terms.

This new online teaching and learning resource is accessible to all, enabling material which has hitherto been underused for fashion research and study, to be opened up to a wider audience. The vast potential of non-fiction film as a resource for students interested in fashion and dress is highlighted by this resource which has the potential to contribute to dress historians’ developing interest in everyday fashions.

This resource is the result of a year long, CETLD-funded project, carried out at the Royal College of Art and Screen Archive South East, at the University of Brighton.

Intute Funding Cut

As many of you will know, Intute in a UK academic portal that provides a huge number of quality websites evaluated by academics and librarians, as well as excellent tutorials on evaluating web resources. However, JISC funding for the Intute will end in August 2010: with no new funding likely, this means that it will have a severe effect on the service Intute can provide.

BRAD

We now have access to BRAD Online from either the catalogue or Litsearch. We have only 3 concurrent user licenses and you will need to get the password annd ID to log in. Simply click on the link to the password in the catalogue record or click on the i for information button in the Litsearch entry.

BRAD Online is a directory of almost 14,000 publications and other media, including TV, radio and websites. Entries provide contact information, target audience profiles, traffic statistics (in the case of electronic media), and advertising rates. Also includes news on title launches and closures.

In addition to the media directory, BRAD also has a Key Facts and Trends section. This includes advertising statistics, overall demographic and readership figures, and audited circulation and viewer/readership profiles from ABC, BARB, NRS, RAJAR and others. Statistical profiles can be obtained for national and regional newspapers, consumer and business publications, television and radio, new media, cinema, mobile, and out of home/outdoor advertising sites.

BRAD was published as a printed directory from 1954 until 2009, and is now only available online.

New Subject Guides on Library Gateway

We have recently started a programme of creating a new set of online learning centre subject guides, to help students and staff find useful information for their subject area. The new, more attractive guides explain what resources and materials are available for a topic and how to access them, as well as incorporating news feeds and search tools. The guides are available from the Library Gateway.

As one of our prototypes, the subject guide for Journalism has been published for some time now: but we have just released the subject guides for Mathematics and for Engineering, Electronics and Materials. We expect more guides to follow soon: we would welcome any feedback you might have about them.

Financial Times

The Financial Times has restricted even further free access on its web site since the last posting in this newsletter. If you do not register you now get access to 2 articles every 30 days from a 3 year archive. If you register then you get 10 articles every 30 days from a 5 year archive.More details at :- FT

The FT is still available in Nexis and the archive runs from 1982 onwards, though there is a 24 embargo so very recent stories do not appear, stories appear at midnight GMT the day after the day of publication. The FT cannot be searched now in anything but power search and cannot be searched in the normal search boxes. Instructions on how to access the FT are available from Litsearch but the access to the FT is only saved between sessions if you access via the Nexis UK via the UK Federation link. If you use the Nexis via LC proxy link then each time you log in you have to set up FT access.

This is deeply unsatisfactory and we are sure that many students are failing to find important information as a result of this convoluted access method. We have been pursuing this with Nexis but even though they initially thought they might be able to make access easier they have not been able to persuade the FT to agree. We do get the FT at no extra cost from Nexis whereas corporate clients have to pay extra so we are not in a strong bargaining position. However I am meeting with an FT sales representative in early December and will be discussing this issue and also the recently announced FT historic archive, a price for which we have yet to see.

New Features for Library Gateway

Thanks to your feedback, we have made some changes to the Library Gateway, which we hope will help you.

We have added a link to Google Scholar. If you have logged into shuspace, items found via this search will show a SHULinks box. This will make it easy to access any journals to which we subscribe, or to use Document Supply Services to order ones which we do not have. Google scholar is particularly useful if you only have the title of an article to work with.
The main LitSearch and Quick Search boxes have been separated to avoid confusion.
We have added help information about the services on the Gateway.
If you are confused by Encore, the new library catalogue interface, this information and screencast should help you.

SHULinks Error

There is a current issue with SHU links and Internet explorer 8.

It occurs if you open a journal article from one SHULinks window and leave that article open, and then open another SHULinks window and try an access a second article. In that case, an "Error on page" message appears at the bottom of the SHULinks window and it will not open the article or allow to report the error.

The work around is to close the first article and refresh the second SHULinks page. It should then allow you to access the second article.

We have contacted the manufacturer and are trying to find a fix. The problem does not does not occur in Firefox.[Based on an e-mail from Caroline Thorpe].

The book reappraises an art form crucial to the development of Spanish art during the 16th and 17th century. The exhibition held in London during October 2009 to January 2010 is organised by the National Gallery in London and the National Gallery of Art, Washington.

Crafts Council Launch Research Hub

The Crafts Council have added a research and information hub to their web pages, to aid those researching contemporary crafts. It includes links to projects and centres in craft research across the UK- including Sheffield Hallam University- as well as links to relevant reports, conferences, blogs and discussion boards. It also has a directory of makers, organisations, events and work opportunities in UK crafts. As this is a pilot project, there may be some changes to the site over the next year or so.

IET/IEE Journals

We know that students are being signed up for membership of the IET, and there seems to be some uncertainty about what is already available from the Learning Centre.

The full text of IET journals and many conference papers are available through our IEEE subscription. IEEE Xplore searches both IEEE and IET publications and through IEEE Explore advance search it is possible , if you wish, to restrict searches to IET journals and conferences. The IET collection also includes older IEE journals. Litsearch lists IEEE Xplore. And it can also be found in the library catalogue

National Fairground Archive

The National Fairground Archive is hosted by the University of Sheffield. It is the leading archive for material about fairgrounds, circuses and the amusement industry in the UK, with photographs, books, newspaper cuttings, records, posters, handbills and more . The archives are open to visitors, although you are asked to book in advance.

The Archive's web pages may be of interest to students, with huge image galleries of British fairgrounds, amusement parks and rides from across the last century. There are also a series of short essays on different aspects of fairgrounds and fairground rides, including an extensive and heavily-illustrated section on the art and design of rides.

FileOpen: new and simpler Document Supply Service articles

FileOpen will make downloading articles supplied by The British Library much less complicated. We will launch this new feature next week.

Secure Electronic Delivery (SED) documents are scanned journal articles. These are delivered electronically by The British Library, instead of a paper copy. When you request a copy of a journal article through Document Supply Services, the hard copy is scanned at The British Library, turned into an SED, then forwarded to you by email.

Previously you will have downloaded journal articles using Adobe Digital Editions. A new download tool, called FileOpen, is being launched. FileOpen is fully compatible with all Adobe Readers from version 4 onwards, and will offer a much more straightforward method of downloading SED items.

The FileOpen plugin has been downloaded to all machines in University offices and open access PCs in the learning centres. You should not encounter any difficulty when downloading your SED items. If you are opening an article from your home PC, you will be given on-screen instructions on how to install the FileOpen plugin, then to download your document.

Design Council Slide Collection: A New VADS Image Collection

VADS (the Visual Arts Data Service) has released another 4,000 digitised images from the Design Council's slide collection, bringing the total number of available images from the collection to over 13,000. The collection has images of leading British design from the 1940s until the 1990s, including textiles, furniture, household goods, interior decor, engineering machinery and components, graphic design, architecture, urban planning and more. The collection also documents the Design Council's efforts to promote British design through annual awards, its Design Centre and special events such as the Festival of Britain. The slide collection is currently housed at Manchester Metropolitan University.

Finding Video Resources for Use in Learning and Teaching

You may be tempted to search Google and copy any video footage which matches your search criteria. There are risks associated with this approach: you may be infringing copyright.
So, how do you find video materials which you can use without worrying about copyright infringement?

TV broadcasts are a good source of up-t0-date and topical information. We record approximately 80 programs a week. These are available online as Video on Demand (VoD). You can use the whole program, or incorporate a specific clip into your work by making a bookmark

Other sources to check out are Newsfilm Online and Film and Sound Online, both of which are available through Litsearch

Video on Demand (VoD)
TV programs which we have recorded plus several selected licenced titles are available on the VoD, which offers high quality video which can be viewed on campus from PCs with the University desktop.

You find the materials which are available by searching the library catalogue. You could search for 'VoD' and a keyword to find VoD titles on a particular topic. You could put in the title of a programmeyou want to find. Or you could do a search for 'VoD' which will bring up a list of all VoD titles.

You can create video clips quickly and easily by making a bookmark, which allows you to mark the beginning and end of a section you want to use. Give the bookmark a meaningful name and you can then put the URL into Blackboard, a Word document or a PowerPoint presentation.The instructions for making bookmarks are on the VoD welcome screen.
